How to send invoices from your own email address

Invoices from a no-reply address get ignored or filtered. Here's how to send invoices from your own business email address, and what you need to set it up.

Why send invoices from your own email address?

Sending invoices from your own email address means the client sees your business name and domain in the From line, and their reply comes straight back to you. Many invoicing tools send from their own shared address instead, often a no-reply one, so the email looks like a notification rather than a message from someone the client works with.

Your own address helps in three ways: clients recognise the sender, questions about the invoice reach you instead of a dead inbox, and your sent folder becomes a record of every invoice you've issued.

Three ways to send invoices from your own address

From simplest to most automated:

  • Download the PDF and attach it to an email yourself. It works for a handful of invoices, but it's slow and easy to forget.
  • Use an invoicing tool that sends from its own address with your address as the reply-to. Replies reach you, but the From line still shows the tool.
  • Use an invoicing tool that sends through your own mailbox over SMTP. The invoice leaves from your real address, exactly as if you'd sent it yourself.

What you need to connect your mailbox

To let software send through your mailbox you need its SMTP settings: the server name, the port (usually 465 or 587), your username and a password. Many providers, including Gmail, require an app password rather than your normal sign-in password, so create one in your email account's security settings.

To pull client replies back in, the tool also needs IMAP access (typically port 993). If you send from a custom domain, make sure the domain's SPF, DKIM and DMARC records are set up with your email provider so invoices land in the inbox rather than spam.

Running more than one company?

Then each company should send from its own address. A client of your design studio shouldn't receive an invoice from your consulting firm's mailbox. Connect one mailbox per company and keep each company's invoices and replies together.
